Section 01: Scientific Sessions

The Scientific Sessions of URCFIM 2025 invite undergraduate researchers to submit their original research work for oral or poster presentations under the designated symposium tracks, providing a platform to share research findings and advancements in Ayurveda and Indigenous Medicine.

General Guidelines

  • Authors are invited to submit original, unpublished research work for presentations under the designated symposium tracks.
  • The Editorial Board has the authority to assign submissions to either oral or poster sessions if not specified by the authors.
  • Abstracts must be prepared strictly using the official abstract template available on the URCFIM 2025 website.
  • Authors are requested to ensure that their abstracts are free from plagiarism and adhere to ethical scientific standards before submission.
  • Each abstract must be accompanied by a signed declaration form, submitted by the Corresponding Author, preferably a Guide or Supervisor.
  • All correspondence regarding the abstract will be addressed to the Corresponding Author.
  • If the designated presenter is unable to attend, the Corresponding Author must either withdraw the paper or arrange for a Co-author to present.
  • Oral presentations must be delivered on-site, except for international participants, who may present online if approved by the Editorial Board.
  • Poster presentations may be displayed on-site.
  • Online presenters are required to join the virtual session on time, keep video on during the presentation, mute when not speaking, and actively participate in the Q&A session.
  • All submission guidelines must be followed carefully.

Guidelines for Abstract Preparation

  • All abstracts must be written in English (UK), Using MS Word, Times New Roman, Font size-12, Line spacing 1.15.
  • Word limit - maximum 350 words.
  • The abstract should include the background, objectives, methods, results, and conclusion, and may contain a maximum of five keywords.
  • The first author must be an undergraduate student and may submit a maximum of two abstracts.
  • The supervisor/guide should be a lecturer or above, and must serve as the corresponding author.
  • The declaration form must be signed by the corresponding author. A scanned copy of the signed form should be submitted together with each abstract.
  • A supervisor/guide may act as the corresponding author for a maximum of six abstracts.

Editorial Notes:

  • Scientific names of organisms should be written in italics.
  • If common or vernacular names are used, they should follow the scientific name in parentheses.
  • Abbreviations and acronyms should not be used in the title unless absolutely necessary.
  • Non-English or technical terms should be written in italics.

Submission Process:

  • Save the abstract using the following format:

<Track number>_<University>_<Faculty>_<Name>.doc

Guidelines for Oral Presentations

Format and Template:

  • Presentations must be prepared using the official PowerPoint template available on the URCFIM 2025 website.
  • Slides should be clear, concise, and visually accessible. Avoid cluttered text and overly complex graphics.
  • Font size should be readable from a distance (minimum 24 pt for text, larger for headings).

Content:

  • Include title slide with full title, author names, affiliations, and abstract ID.
  • Follow a logical flow: Introduction → Objectives → Methods → Results → Discussion → Conclusion.
  • Keep text brief; use bullet points instead of long paragraphs.
  • Include figures, tables, and graphs where appropriate; all visuals must be clearly labeled.
  • References should be included in the final slide in a consistent citation style.

Scientific Standards:

  • Scientific names of organisms should be written in italics.
  • Common or vernacular names may follow the scientific name in parentheses.
  • Avoid abbreviations and acronyms unless essential.
  • Non-English or technical terms should be in italics.

Presentation Delivery:

  • Oral presentations are on-site, except for international participants, who may present online if approved.
  • Presenters should practice timing: each presentation should adhere to the allocated time (usually 7 minutes plus 3 minutes Q & A session).
  • Online Presentation (if applicable): Join the virtual session at least 15 minutes prior. Keep video on during the presentation and mute microphone when not speaking.

Technical Check:

  • Ensure all media files (images, videos) are embedded properly. Test your presentation on the actual system or platform before the session to avoid technical issues.


Guidelines for Poster Presentations

Format and Size:

  • Posters must be prepared using the official poster template (available on the URCFIM 2025 website).
  • Standard poster size: 36 inches × 48 inches (horizontal orientation).
  • Submit a high-resolution e-copy of the poster; hard copy is not required.
  • Ensure a clear layout with well-defined sections for title, authors, affiliations, introduction, objectives, methods, results, discussion, and conclusions.

Content:

  • Title should include the full title, author names, affiliations, and abstract ID.
  • Use brief text, bullet points, and short sentences for clarity.
  • Include figures, tables, charts, and diagrams with clear labels and legends.
  • Avoid overcrowding; use visual hierarchy to guide the viewer’s attention.
  • Include references at the bottom in a consistent citation style.

Scientific Standards:

  • Scientific names of organisms should be written in italics.
  • Common or vernacular names may follow the scientific name in parentheses.
  • Avoid abbreviations and acronyms unless essential.
  • Non-English or technical terms should be in italics.

Presentation and Interaction:

  • Posters can be presented online or on-site.
  • Authors should be available during the scheduled session to discuss / answer questions.
  • Prepare a short verbal summary (5–7 minutes) for attendees.
  • Be ready to interact with audience regarding methods, results, and conclusions.

Technical and Visual Tips:

  • Use high-contrast colors for text and background to enhance readability.
  • Fonts should be legible from at least 1–2 meters away (minimum 24 pt for body text, larger for headings).
  • Avoid excessive text; rely on graphs, diagrams, and images to convey key points.
  • Ensure all images and figures are high-resolution and properly labeled.
