Section 01: Guidelines for Abstract

Tracks

Track 1 - Ashtanga Ayurveda (Eight Branches of Ayurveda)

General Guidelines

- Authors can submit their work for oral presentation and poster under the above tracks.

- Oral presentations of the participants should be presented physically. (The participants who are selected by the editorial board should present their abstract presentations virtually)

If you are a virtual presenter,

  • You are required to attend the Zoom conference meeting, at least 15 minutes prior to the presentation time, but participation from the beginning of the symposium is highly appreciated (Links will be shared in due course).
  • Your Zoom account should appear by your name and abstract ID.
  • You must mute your microphone till you get the time for the presentation.
  • It is compulsory to participate questions and answers sessions.
  • Your video should be on throughout the presentation.

- The author should ensure to use the template of abstract, template of PowerPoint presentation which can be downloaded in the URCIFM – 2023 official webpage.

- Research work presented or published elsewhere will not be considered.

- If plagiarism is detected, abstract will be rejected without further consideration.

- The Editorial Board advises all authors to optimize their abstracts before submitting the work using a free online plagiarism checker.

- Please note that paper submission guidelines should strictly be followed by the authors.

- Please follow the specified guidelines given below for preparing abstracts.

Declaration by the authors

  • The annexed declaration form must be signed and returned by the Corresponding Author via email (scanned copy) along with each abstract submitted.
  • All correspondence will be addressed to the Corresponding Author. If the Corresponding Author is a student, it is mandatory that the declaration form should be signed by the supervising author/s.
  • In the event that the presenter indicated in the application is unable to present the paper, it is the responsibility of the Corresponding Author either to withdraw the paper in advance or arrange for one of the Co-Authors to present the paper.

Guidelines for Abstract

  • Abstract should summarize the background to the research, objectives, methods, results, and conclusion/s of the study with the keywords (maximum keywords – 5).
  • All abstracts must be prepared in English (United Kingdom), using MS Word 2007 or 2010. Must use “save as type” as the Word 97-2003 document (.doc).
  • Word limit – 350 maximum
  • Please follow the specific guidelines mentioned below. 
  • Page Size – A4 single page with left margin – 3 cm and other margins (top, bottom and right) – 2.5 cm
  • Spacing – 1.5
  • Title (Font – Times New Roman/ Uppercase/ Font Size – 11/Bold)

The abstract should be brief, specific and reflect the study carried out. If scientific names of organisms are included, they should be written in italics. If common or vernacular names are used, follow the scientific name; they should be included in parentheses. Do not use abbreviations & acronyms in the title unless they are unavoidable. Non-English and Technical Terms should be in italics.

Guidelines for Preparation of Abstracts
  1. The abstract must report original research.
  2. An author may submit one abstract as a single author and one abstract as a co-author OR no more than four abstracts as co-author.
  3. The title should be brief and explain the study reported. Capital letters should be used only for the first letter in the first word of the title and proper nouns.
  4. The author/s names and addresses –
  •  Capital letters should be used only for the initials and the first letters of the surnames of authors.
  • The address of the Institution in which the work was carried out should be included under the author’s name.
  • If the collaborators are from different Institutions, the addresses of the Institutions should be included in brief. In this case, the addresses of the co-authors should be indicated by a number in superscript after the authors’ names and before the respective addresses (as shown below).

  5. Standard abbreviations of SI units should be used.
  6.The abstract should be coherent and free of language errors.

Abstract submission

Authors should save their prepared abstract as below.

<Track number>_<University>_<Faculty>_<Name>.doc

    E.g. Track 1_<GWUIM>_<FIM>_< S.T.H.Hewage>.doc

 Authors should send their abstract via Email to abstract.urcfim2023@gwu.ac.lk  on or before  29th of December 2023

 

  Guidelines for Poster Session

    • Poster presentations of the participants should be physically presented.
    • Use the provided template for posters.
    • Font – Arial or Calibri (minimum font size is 20)
    • The poster should be easily readable at a distance. Use upper and lower case for general content, as all-capital text is difficult to read. Maintain consistency in Font choice and size.
    • Background color – Suitable light colour
    • Layout - Landscape orientation (figure 1)

The poster should contain the title of the paper, author(s), and affiliation(s), background, objectives, method, results, and conclusion (acknowledgment if applicable).

Usually, a presentation software such as PowerPoint will be used. Format your PowerPoint slide on the size you’ll like to have it printed (ex 90x130 cm) by using the menu data -> format page. You can insert your text and graphics directly on that slide or copy-paste it from a Word document or a PowerPoint slide.

After the poster is printed in large format, changes are no longer possible.

It is often useful to make a handout of your poster for distribution during the poster session.


  • Images: should be high-resolution images.
  • The time duration for the poster presentations will include 7 minutes of presentation time and 3 minutes of Q&A session.
  • Posters should be submitted to the session coordinators on or before 29th of December 2023.
