The General Administration Division is responsible for all general administrative matters of the University which may include; providing infrastructure facilities; general services; maintenance of lands, buildings and other structures; and providing all facilities, supplies and services with a view to providing a conducive environment for teaching, learning, research and all activities connected thereto.
The Division, headed by the Deputy Registrar, is consisting of three units, namely; General Services, Capital Works, and Maintenance for carrying out the responsibilities of the Division.
The General Services Unit and the Capital Works Unit of the General Administration Division are located on the first floor of the Administration Building of the University. The Maintenance Unit is located on the ground floor of Building No A-18 in the Faculty Complex of the University.
General Services Unit
The prime responsibility of the General Services Unit is to ensure providing general services required the for smooth functioning of the University. The responsibilities of the Unit are carried out by the Deputy Registrar in charge of the General Administration Division with the assistance of the supporting staff.
Main Functions of the Division
- Coordinating all matters related to providing utility services such as; water, electricity and telecommunication services, and payment of bills
- Coordinating the postal service of the University and publishing press advertisements etc.
- Handling all matters related to providing transport facilities for students, staff and others and maintenance of university vehicles
- Handling all matters pertaining to procurement, coordination, and supervision of cleaning and janitorial services
- Coordinating all matters related to providing security services to all human and physical resources in the university premises
- Providing facilities for canteens and staff common rooms and maintenance of such facilities
- Providing quarters for the staff and maintenance of such facilities
- Handling matters pertaining to procurement/leasing of houses, lands, buildings, vehicles and other properties for the University
- Handling all payments with regard to rents, rentals and revenue taxes etc.
- Handling all matters pertaining to maintenance of office equipment etc.
- Making arrangements for payment of fuel allowances to eligible officers of the University
- Maintaining the Master Inventory of the University
- Coordinating and carrying out annual verification of assets and disposal of unusable and unserviceable inventory items
- Providing logistics for all the events of the University
- Convening the meetings of the Housing Committee, Procurement Committee and Progress Review Meeting of the Administrative Divisions of the University
Capital Works Unit
Capital Works Unit is responsible for providing buildings and other infrastructure facilities to assure an environment conducive for teaching, learning and research activities by ensuring the development and rehabilitation projects are planned and implemented within the agreed time frames and financial allocations while maintaining the quality of work.
The responsibilities of the Unit are carried out by the Assistant Registrar with the assistance of the supporting staff.
Main Functions of the Unit
- Preparing and updating the Master Plan of the University
- Preparing and updating the Action and Procurement Plans relevant to the infrastructure development of the University and obtaining fund allocations for such projects
- Assessing the land requirement for the development and acquisition/procurement of the required lands
- Identifying the construction projects and preparing building proposals
- Coordinating with other authorities such as UGC, line ministry and Treasury etc. for obtaining necessary approvals
- Identifying major rehabilitation/improvement works to the existing buildings and other structures and obtaining necessary approvals for implementation
- Arranging procurement of construction/rehabilitation works and completing the work within agreed time frames and fund allocations while ensuring the quality of work
- Monitoring monthly progress of the projects through site meetings and Project Management Committee meetings
- Convening the meetings of the Lands and Buildings Management Committee
